Engineer.iX FReminder

 

 

This program was build for one of our customers to remind the local users that they forgot some files in an "open" network folder (transfer directory). As soon a file is older than an allowed threshold value the program sends a reminder email to the specified recipient.

The program can be controlled using the shell (command line).

The mail transport settings can be tested directly in the program and stored inside the application settings file:

FReminder currently supports sending e-mails to explicitely specified recipients only, but for the next update it is planned to use the Active Directory information of the file owner to find out automatically to what address to send the reminder mails. If you have a special wish or a fancy idea, don't hesitate and best contact us directly. Maybe we can add a new feature for your specific purpose.

 

 

Typical Use Cases

Case 1 - Remind users to clean up folder respectively not to forget to remove special files from special folders

To avoid a complicating managment of user rights, files are often stored in special transfer folders inside the network for a very short time. Example: Anton puts his files into the transfer folder and Betty takes it from there. Sometimes Anton or Betty forget to remove the files what can be a information risk (because other persons could find it) or a backup risk because the daily backup could not save them. You can use the program FReminder to remind the users automatically that the still have left their files in the transfer folders.

Case 2 - Remind users not to save special files on the company network

Users tend to store also private files like images, music files etc. on their non-public user folders. Storing that kind of files can be a risk for your company when the content is not licensed correctly or another risk when the file size gets to big (for example using Roaming Profiles). For this reason it's a good idea to delegate the "watchdog" role to an automatical process that runs the program FReminder to remind the users in a neutral way to remove the files.

Case 3 - Report mail about all files in a folder

If you want to receive a regularly report on all files in a folder then you can build a scheduled task use FRemind with the file filter *.* and without other settings.

Case 4 - Regularly report mail on new files

If you need a overview of all files that are new then you best use FReminder with *.* and using the date filters as simultaneously. In that manner you can also filter files that are changed since a special date. Use also can combine the filters e.g:

"Remind me to all .pdf-files, larger than 20KB, created before 1 Jan 2010 and changed after 1 May 2010."
